Payroll Preparation Disclaimer

Shield Spire Ops provides payroll preparation functionality. This page explains what that functionality does, what it does not do, and where responsibility remains with the customer.

1.What Payroll Preparation Includes

  • consolidation of timesheet and attendance records
  • calculation of worked hours, breaks, overtime, and differentials
  • gross-pay preparation for a defined payroll period
  • review and approval workflows before export
  • export of payroll-ready data for use in an external payroll system

2.What Payroll Preparation Does Not Include

Shield Spire Ops is not a payroll provider, employer of record, professional employer organization, tax advisor, or accounting firm.

The platform does not:

  • calculate, withhold, file, or remit federal, state, provincial, or local taxes
  • produce statutory tax filings or year-end tax forms
  • disburse wages or move funds to workers
  • operate as a system of record for tax identifiers or wage-disbursement banking details
  • provide tax, accounting, employment, or wage-and-hour legal advice
  • guarantee compliance with any wage, hour, overtime, or labor law

3.Customer Responsibilities

The customer is solely responsible for:

  • configuring pay rates, overtime rules, and differentials correctly
  • reviewing and verifying all prepared payroll data before use
  • final payroll processing through its own payroll provider
  • tax calculation, withholding, filing, and remittance
  • compliance with all applicable wage, hour, tax, and employment laws
  • resolving any discrepancy between platform output and its payroll system of record

4.Accuracy and Verification

Payroll output depends on the accuracy of underlying attendance data, configuration, and approvals. Output should be treated as a prepared draft requiring verification, not as a final authoritative payroll calculation.

5.Service Levels

Payroll preparation functionality is excluded from the Service Level Agreement unless expressly agreed in a separate written agreement.
