Shield AI Usage and Transparency Policy

This policy explains how artificial intelligence capabilities, marketed as Shield AI, are used within the Shield Spire Ops platform, what controls govern them, and where human responsibility remains.
This page is maintained by Shield Spire Ops to answer common questions about AI usage. It describes current product behavior and is not a certification, attestation, or independent audit of any AI system.
1.Where AI Is Used
AI-assisted capabilities may be available in the following product areas, subject to platform-level enablement, tenant configuration, and subscription plan:
- incident and report drafting assistance
- scheduling and coverage suggestions
- compliance review assistance
- conversational assistance within the platform
- form intelligence and structured data extraction
- operational summaries and analytics assistance
AI capabilities are not available in every plan or tenant, and may be introduced, limited, or withdrawn as the platform evolves.
2.Human-in-the-Loop Requirement
All AI-assisted output is advisory. Shield AI does not act autonomously on operational records.
The user who approves AI-assisted content remains accountable for its accuracy.
3.Governance and Controls
AI functionality is governed by layered controls, including:
- global platform-level enablement and disablement
- tenant-level AI configuration and feature controls
- role-based access to AI-assisted capabilities
- AI usage auditing and request records
- daily AI spending limits
- fail-closed behavior, so that a control failure denies rather than permits access
- additional opt-in and redaction controls for sensitive form workflows
4.Data Handling
When an AI-assisted capability is invoked, relevant operational content may be transmitted to artificial intelligence infrastructure and model providers in order to generate output. We record usage metadata such as which capability was invoked, by which role, and usage volume against configured limits.
Tenants should configure AI features in line with their own data handling obligations and should avoid submitting sensitive personal data into AI workflows where their internal policy or applicable law does not permit it.
5.Limitations
AI output may be inaccurate, incomplete, outdated, or unsuitable for a given situation.
Shield AI does not:
- provide legal, employment, financial, medical, or compliance advice
- determine compliance status
- replace supervisory judgment
- guarantee detection of risks, incidents, or policy violations
- operate as an emergency or life-safety system
6.Shared Responsibility
Shield Spire Ops is responsible for the availability of AI governance controls, usage auditing, and the technical safeguards described above. The tenant organization is responsible for deciding which AI capabilities to enable, for training its users, for reviewing AI-assisted output, and for the operational and legal consequences of records it approves.
