Acceptable Use Policy

This Acceptable Use Policy ("Policy") governs the use of the Shield Spire Ops platform, including all associated systems, applications, workflows, APIs, and services (collectively, the "Platform").
This Policy applies to all users, including tenant administrators, employees, supervisors, clients, applicants, and any authorized users accessing the Platform.
The purpose of this Policy is to ensure that the Platform is used in a manner that maintains security, integrity, accountability, and lawful operation across all tenants.
1.Purpose and Scope
Shield Spire Ops is an operational system used to manage:
- workforce activity
- scheduling and attendance
- incident reporting and response
- dispatch and communication
- compliance tracking and enforcement
- training and certification workflows
- client visibility and reporting
- API integrations and automation
Because the Platform directly supports real-world operations, misuse may have operational, legal, and safety consequences.
This Policy defines prohibited activities and establishes expectations for responsible use.
2.General Use Requirements
Users must:
- use the Platform only for authorized business or operational purposes
- comply with applicable laws and regulations
- follow tenant-specific policies and procedures
- respect assigned roles and access limitations
- maintain accurate and truthful data within the Platform
Tenants are responsible for ensuring that their users understand and comply with this Policy.
3.Unauthorized Access and Security Violations
Users must not:
- attempt to access data outside their authorized role or tenant
- bypass role-based access controls or permission systems
- attempt to exploit vulnerabilities in the Platform
- engage in credential sharing or unauthorized account use
- attempt to intercept or manipulate system communications
- interfere with authentication mechanisms or session controls
Any attempt to compromise system security or tenant isolation is strictly prohibited.
4.Misuse of Operational Systems
The Platform includes operational tools such as:
- Daily Activity Reports (DAR)
- incident reporting
- dispatch systems
- patrol and checkpoint tracking
- scheduling and attendance systems
Users must not:
- submit false or misleading operational reports
- manipulate attendance records or time entries
- falsify GPS or location-based data
- create fraudulent incidents or activity logs
- misuse dispatch systems for non-operational purposes
- interfere with or disrupt operational workflows
Because these systems may be used for compliance, auditing, and client reporting, accuracy and integrity are mandatory.
5.Compliance and Documentation Misuse
Users must not:
- upload false, altered, or fraudulent compliance documents
- bypass compliance workflows or approval processes
- manipulate expiration or certification records
- misuse training or certification systems
- attempt to override compliance gating mechanisms
The Platform's compliance features are designed to support regulated operations. Misuse may result in serious consequences.
6.Communication and Messaging Misuse
The Platform may include communication tools such as:
- dispatch messaging
- internal communication threads
- notifications and alerts
Users must not:
- send abusive, threatening, or inappropriate messages
- misuse communication systems for non-operational purposes
- impersonate other users or roles
- distribute misleading or false information
- interfere with legitimate operational communication
7.API and Integration Misuse
If API or integration access is enabled, users must not:
- share API keys or credentials with unauthorized parties
- exceed assigned rate limits intentionally
- attempt to bypass API restrictions or scopes
- use APIs for unauthorized data extraction or scraping
- interfere with platform services through automated misuse
- create integrations that compromise system security
API access is monitored and subject to enforcement.
8.Data Misuse and Privacy Violations
Users must not:
- access or export data beyond authorized scope
- misuse personal or operational data
- share sensitive data without authorization
- attempt to aggregate data across tenants
- violate confidentiality obligations
All data access must align with assigned roles and tenant permissions.
9.Platform Integrity and Performance
Users must not:
- interfere with platform performance or availability
- introduce malicious code or harmful content
- overload the system through automated or excessive use
- disrupt normal operations for other users
- attempt denial-of-service or similar attacks
Maintaining platform stability is critical for all tenants.
10.Fraud, Misrepresentation, and Abuse
Users must not:
- provide false identity or role information
- misrepresent operational status
- manipulate reports for financial or contractual gain
- use the platform for fraudulent business activities
- exploit workflows for unintended purposes
11.AI-Assisted Feature Use
Where AI-assisted features are enabled, users must not:
- submit AI-generated content as a factual record without human review and approval
- rely on AI output for employment, disciplinary, compensation, dispatch, or emergency decisions
- submit sensitive personal data into AI workflows in violation of tenant policy or applicable law
- attempt to bypass AI usage limits, spending caps, redaction controls, or governance settings
- use AI features to generate misleading, fraudulent, or falsified operational documentation
- attempt to extract model configuration, prompts, or data belonging to other tenants
AI output is advisory. The submitting user remains accountable for the accuracy of any record they approve.
12.Payroll Preparation Use
In connection with payroll preparation functionality, users must not:
- alter timesheet or attendance records to misstate worked hours
- use payroll exports as a substitute for verified payroll processing
- treat platform output as tax, accounting, or wage-and-hour legal advice
- distribute payroll data beyond authorized personnel
Payroll output must be verified by the tenant before use in any external payroll system.
13.Enforcement and Monitoring
Shield Spire Ops may monitor platform activity to:
- detect misuse
- enforce this Policy
- protect users and tenants
- maintain system integrity
Enforcement actions may include:
- access restrictions
- account suspension
- termination of access
- reporting to tenant administrators
- escalation to legal authorities where required
14.Tenant Responsibilities
Tenant organizations are responsible for:
- managing their users
- enforcing internal policies
- ensuring proper role assignment
- reviewing platform activity
- addressing misuse within their organization
The Platform provides tools, but tenants remain responsible for their operations.
15.Reporting Violations
Suspected violations of this Policy may be reported to:

16.Changes to This Policy
